Receptionist (part-time)

SUMMARY

Under the HR Manager’s supervision, The Receptionist greets guests of the Convention Center and routes incoming calls to the proper person/department. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answer telephone calls promptly and efficiently, directing them to the proper person.
  • Take messages for unavailable employees and communicate these messages to the proper department in a timely manner.
  • Greet visitors in a pleasant professional manner.
  • Sort incoming mail and distribute it to the appropriate person/department.
  • Coordinate conference room schedule.
  • Keep the receptionist area neat and orderly.
  • Operate office equipment including TDD phone and two-way radio as required.
  • Be familiar with the events in the Convention Center, both ongoing and future.
  • Be familiar with the organizational workflow to direct inquiries to the proper department of the Convention Center and be prepared to interact with other employees in a cooperative manner
  • Other duties may be assigned

QUALIFICATIONS

EDUCATION AND EXPERIENCE

  • High school diploma or G.E.D.
  • 2-4 years’ receptionist experience

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Ability to use all office equipment, computer, calculator, fax machines, copy machines 
  • Ability to prioritize tasks and to handle multiple tasks at a time
  • Good communication, problem solving and organizational skills
  • Excellent customer service and public relations skills
  • Professional presentation and appearance 

 

COMPUTER KNOWLEDGE

To perform this job successfully, an individual should have knowledge of event booking and scheduling software, spreadsheet software and word processing software and be proficient in Microsoft Word, Excel, and PowerPoint.

Must have the physical ability to maneuver around PCC, at times, walking and/or standing up to 8-10 hours daily. The employee is regularly required to sit for long hours; using hand to handle files, type and operate offices machines; to talk and hear on the telephone. Specific vision abilities required by this job include close vision to handle contracts, other office correspondence, etc.

 

HOURS OF WORK AND TRAVEL REQUIREMENTS

Normal business hours may be required.
